Automating a process – step by step

"We could automate that" – the sentence comes quickly. But an automation that nobody uses or that constantly reports errors costs more than it saves. That is why we approach processes step by step.

It starts with understanding: how does the process run today? Who is involved, which systems are touched, where does it get stuck? We document the current state together with the people who live the process every day – not around them.

Then we define rules. An automation needs clear conditions: what happens when a document arrives, a status changes, a value is missing? Where rules are unclear, manual steps remain – and that is perfectly fine.

Before implementation we check the systems involved: which interfaces exist – APIs, exports, defined file formats? What does your software support natively, where are the limits? Only what is technically viable gets implemented.

Then comes the pilot project: a limited process, a manageable scope, clear review criteria. The pilot runs with test or approved data, and we evaluate the results together with you.

Only when the pilot convinces does the step-by-step rollout follow. New processes need support: colleagues must understand what the automation does, what they still have to check themselves and where they can intervene.

After the rollout we keep measuring: does the process run stably? Where do questions and errors arise? Automation is not a one-off project – it gets adjusted as long as everyday work keeps changing.

Let us automate your next process together.

Describe a recurring workflow to us. Together we will check whether and how it can be automated sensibly.
