Everyday reality in many firms
Documents have to be checked one by one and assigned to the right client.
Invoice data is taken from documents and entered again in other systems.
Illegible documents, missing pages and incomplete data must be spotted and clarified.
Already processed documents can arrive again and must be recognised reliably.
Data must be checked and brought into the right format before the DATEV export.
Without traceable status information it is hard to see which documents are done, faulty or still open.
Sample values for typical single documents – the actual time depends on the document and the process.

DATEV connection
Bürokratie-Copilot supports the preparation of structured booking data and document information for the DATEV export. The goal is to reduce manual intermediate steps and to review the data traceably before further processing.
The concrete export process depends on the DATEV procedure you use and your firm's configuration.
Export status
Sample data – no guarantee
Not an official DATEV product and no official DATEV partnership. "DATEV export" means the preparation of structured data for import into your DATEV applications.
People and automation
Not every document is unambiguous. That is why unclear results must stay visible and reviewable by staff.
Documents that cannot be clearly recognised or assigned do not slip unnoticed into the export – they are visibly marked.
Results are checked, corrected and approved by your team. No document is exported without approval.
Relevant processing steps and corrections are documented, where these functions are technically supported.
Estimate the time value

How much working time can automation save?

All values are estimates and no guarantee of concrete savings. Also consider manual review, error cases, rollout and operating costs. The actual time saving depends on your processes and how the automation is implemented in your firm.

Privacy and security
Bürokratie-Copilot separates client data consistently and relies on role-based access rights. The concrete security measures are agreed per deployment model and documented in writing.

Frequent questions
Bürokratie-Copilot is aimed at small and medium-sized tax firms and bookkeeping offices that process many documents for different clients and are looking for a structured transition to DATEV processing. Whether the current feature set fits your firm is something we clarify together in the live demo.
Bürokratie-Copilot is designed for typical client documents such as invoices. Which document types are supported in the current version and how further types are added, we show you in the live demo using sample data.
Documents are assigned to the right client based on defined criteria. Cases where the assignment is uncertain are flagged and reviewed by staff – no document is pushed through without review.
Illegible or incomplete documents are visibly marked as needing review and moved into the review and approval queue. Your team decides whether details are corrected, completed or followed up with the client.
In the current version, reviewed data is prepared and output in the supported file format for DATEV import. The concrete export process depends on the DATEV procedure and your firm's configuration – we discuss this individually in the demo.
No. In the current version the export is a file. A direct API integration or automatic synchronisation with DATEV is currently not part of the product and is not advertised as an available feature.
Client data is handled according to the principle of consistent separation between clients and role-based access rights. The concrete measures for data storage, transfer, deletion and the service providers used depend on the deployment model and are documented in writing before the contract is signed – including the required data processing agreements.
No. Unclear results stay visible and must be reviewed by staff. Your team keeps the final say: before the export, a person confirms or corrects the results. Error-free recognition is not promised.
We start with a joint conversation about your typical document process: input channels, document types, client structure and your DATEV procedure. Based on that we define a manageable pilot scope with clear review criteria and evaluate the results together. The process is agreed individually – without blanket date promises.
The first version publishes no flat-rate tariffs. The terms depend on your firm's scope of use and are offered individually. Request an offer or discuss a pilot project with us.
