AI in document processing – with human control
Artificial intelligence reads invoices, recognises document types, extracts amounts and fields – that sounds like magic and is above all one thing: a tool that works by rules and patterns. Like every tool, it has strengths and limits.
The strength lies in volume: what a person does per document in minutes, a system does for whole stacks – and it does so consistently. Capture, classification and assignment according to defined criteria are exactly the tasks where software can relieve people.
The limit shows in everything that is not unambiguous: a poorly scanned document, an unusual invoice structure, an amount that does not match the line items. Here confidence turns into uncertainty – and this is exactly where the system must not simply guess.
That is why serious AI processing always includes a human review step: unclear cases are visibly flagged and land in a review queue. A person decides, corrects or follows up – and only then approves.
Serious software does not promise error-free recognition. What it can promise: that errors do not slip through unnoticed, because every step stays traceable and every correction is documented.
The data itself deserves care too: which data is processed, where is it stored, which external services are used? These questions belong before the start of a project – contractually and technically.
The right start is a pilot project: a limited document type, a manageable scope, clear review criteria. That way you see on your own documents where the AI relieves you – and where your team keeps deciding.
