One step, one responsibility
Every agent has one task, defined inputs and a verifiable result. No black box that does “something”.
Automation
Agents take over clearly scoped steps – from a document arriving to the handover into CRM, ERP or accounting. Eight sections show what that looks like: from the live map to the connection to your existing software. Everything runs in the browser, without signing in.
Overview
We do not automate software for its own sake. Every agent represents a step your team performs by hand today – with clear inputs, clear results and a handover that stays traceable.

Why
Four properties decide whether an agent holds up in everyday work – not the number of features.
Every agent has one task, defined inputs and a verifiable result. No black box that does “something”.
Your software stays in place. Agents use the channels it actually offers: API, mailbox, folder, database, print or file.
Uncertain values are flagged and submitted for approval. Nothing continues until you have decided.
Every run is logged: who, when, with which inputs and which result. A failure is a documented case too.
Industries
Every industry has a different bottleneck. These three examples show which step an agent can take over first – without you having to replace your software.
The enquiry arrives by phone or form. Instead of notes and verbal handovers, a lead with source, preferred date and material requirements is created in the CRM.
Capture the enquiry
Contact, source and first note go straight into the CRM.
Lead-ErfassungCheck date and material
Crew, installation date and missing quantities become visible before you commit.
Handwerk-TerminplanungPrepare the invoice
Services and material are combined into a verifiable invoice.
Buchhaltung & DATEVThe job is documented, and the next step has an owner and a date.
Orders arrive by e-mail, portal or file. The agent checks items, stock and delivery date before anyone touches the order.
Capture the order
Items, quantities and customer are read from the incoming message.
AuftragserfassungCheck stock and delivery
Partial deliveries and date deviations are reported early.
LieferverfolgungInvoice and return
The invoice is prepared; returns stay traceable on the customer record.
RetourenbearbeitungEvery order has a number, a status and a clear next step.
Enquiries from forms, chat or the mailbox become a complete contact. The first appointment is in place before the initial call begins.
Create lead and contact
Source, responsibility and first task are set.
Lead-ErfassungCreate deal and task
Value, stage and next step are recorded in the CRM.
Deal-PipelineConfirmation and appointment
Confirmation and calendar entry are generated from a template.
Kunden-OnboardingThe customer gets a clear answer, and the team gets a complete file.

Analytics

All 126 agents are implemented. The badge remains in place as a marker for future concepts.
Constellations
Each constellation is a proven chain of agents for one concrete job – from inbox triage to customs clearance. Load and adjust them on the live map.

CRM workflows
A CRM is only as good as the steps that happen reliably inside it. These four workflows connect enquiry, quote, invoice and task – without anyone forgetting a status change.
Leads come from forms, phone calls or the mailbox. Every stage has a trigger, an agent and a verifiable result.
Enquiries from forms, phone or mailbox become contacts with source, responsibility and first task.
Agents
The opportunity gets a stage, a value and a next date. Stagnation becomes visible before it gets expensive.
Agents
The order becomes an invoice draft; amounts, due date and required fields are checked.
Agents
Every step creates a task for the right person – with deadline, context and history.
Agents
Scenarios
Every workflow starts with an event and ends with a result a person can check.
An enquiry arrives through the form in the evening. By the next morning it is captured, enriched and assigned.
Capture the enquiry
Contact and source are created; duplicates are checked.
Lead-ErfassungEnrich the contact
Company, role and phone number come from signature and documents.
KontaktpflegeSet responsibility
The lead is assigned and gets a deadline for the first contact.
Aufgaben-VerteilungResult: The lead is complete before anyone opens it for the first time.
A quote has gone out, but nobody has the next step in view.
Prepare the quote
Items, prices and validity are filled from enquiry and price list.
AngebotserstellungPlan the follow-up
The cadence has dates, channels and clear stop rules.
Vertriebs-Follow-up-KadenzUpdate the deal
Stage, value and reason are recorded on the opportunity.
Deal-PipelineResult: Every open quote has a next date or a documented reason why not.
The order has been placed; the invoice often only appears when somebody remembers.
Create order from deal
Stage “won”, value and order reference are recorded.
Deal-PipelinePrepare the invoice
Amounts and due date are derived from the order.
Buchhaltung & DATEVCheck required fields
Missing details stop the handover before anything is posted.
Dokument-ValidierungResult: The invoice is prepared, checked and linked to the order.
An invoice is overdue. The dunning run should not depend on who remembers it.
Find overdue invoices
Level and deadline are determined from invoice and payment due date.
MahnwesenDraft the reminder
Template, amount and deadline are filled in – as a draft.
BriefentwurfObtain approval
Nothing is sent until a decision is made; the level is logged.
FreigabenResult: No invoice is left behind; every dunning level is documented and approved.
All workflows run in the CRM; the map is not needed for them. The steps shown are typical building blocks, not a fixed product configuration.
Processes
Skilled trades, retail, services and production have different bottlenecks – but similar patterns: enquiry, planning, execution, billing. Four typical chains with the agents that take over each step.
Enquiry & site measurement
Capture the enquiry as contact and deal; record preferred date and property.
Agent: Lead-ErfassungDate & material
Align installation date, crew and material requirements; flag shortages early.
Agent: Handwerk-TerminplanungExecution
Distribute tasks, photos and checkpoints to the crew; status stays on the order.
Agent: Aufgaben-VerteilungBilling
Combine services and material into a verifiable invoice.
Agent: Buchhaltung & DATEVFollow-up
Monitor open items, propose the dunning level, send only after approval.
Agent: MahnwesenOrder intake
Capture orders from e-mail, portal or file and check the items.
Agent: AuftragserfassungStock & delivery
Monitor stock, delivery date and partial deliveries; report deviations.
Agent: LieferverfolgungInvoice
Check invoice items and prepare the posting.
Agent: Buchhaltung & DATEVReturn
Check the return, prepare refund or replacement, keep the history on the customer.
Agent: RetourenbearbeitungCheck stock
Derive count lists and reordering from the actual stock.
Agent: InventurEnquiry
Contact, source and first task from form, chat or mailbox.
Agent: Lead-ErfassungQuote
Prepare items and validity from enquiry and price list.
Agent: AngebotserstellungOnboarding
Contact, deal, tasks and first appointment in one workflow.
Agent: Kunden-OnboardingService
Keep dates and deadlines in view; escalate before they are missed.
Agent: Fristen-ÜberwachungBilling
Bill the services; keep open items and the next contact in view.
Agent: Buchhaltung & DATEVOrder
Create work sequences, checkpoints and material requirements from the order.
Agent: FertigungsauftragMaterial
Make shortages and purchase proposals visible before the start.
Agent: MaterialplanungProduction
Plan machines, staff and dates; report bottlenecks.
Agent: TerminplanungQuality
Check measurements against tolerances; present deviations for a decision.
Agent: QualitätsprüfungShipping & invoice
Track shipping status, prepare the invoice and hand it to accounting.
Agent: LieferverfolgungThe chains are examples from the catalogue; we define the actual sequence in the process workshop.
Open the live demoInterfaces
We start with the channel your software already offers – not with the one we like best. Every channel has limits; we name them.
Your systems talk to the agents directly – synchronously via REST or event-driven via webhook.
A mailbox becomes the inbox: attachments and messages trigger agents. Replies only leave after approval.
A watched network folder receives files from scanners, MFP devices or legacy exports.
A separate read account or a read replica supplies master data, open items or stock levels – without write access.
Results are stored as PDF or emitted through a printer/converter – for systems that only understand paper or PDF.
For legacy systems without an API: the bridge drives the interface in a dedicated Windows session, logs every step and stops when something is unclear.
File-based exchange for isolated environments or systems with a fixed export format.
Principle: read before writing. Write access gets its own service account, its own permission and an approval step.
The channel follows from the system, not the other way round. The matrix shows typical combinations; we check the actual shape afterwards.
| System | Channel | What flows |
|---|---|---|
| CRM / ERP | REST & webhook | Contacts, deals and invoice status; an event such as “deal won” triggers the next process. |
| Accounting / DATEV | CSV & XML | Checked posting records as a file, with control sum and field mapping – no direct DATEV API access. |
| E-mail mailbox | E-mail & IMAP | Incoming receipts and enquiries; replies leave the mailbox only after approval. |
| Scanner / MFP | Folder & scans | PDFs from scan folders, including duplicate checks and filing by type. |
| ERP database | Database (read-only) | Master data, open items and stock via a read account or read replica. |
| Legacy Windows system | RPA on Windows | Orders and item numbers through the interface; every step logged, stop on ambiguity. |
| Archive / DMS | Print & PDF | Checked receipts as PDF/A with filing date and review note; the original is retained. |
Principle: read before writing. Write access gets its own service account, its own permission and an approval.
AI processing
Recognition is not an oracle. The path is a chain of text, rules, fields and a clear decision about when a person takes over. The figures come from the current catalogue and the technical starting values.
189
document types
9
document areas
112
expense categories
2
thresholds (0.85 / 0.60)
The catalogue distinguishes 189 document types in nine areas – from invoices and official notices to business plans. Every type brings its own rules and required fields.
Invoice
Number, date, amounts, due date, supplier and IBAN.
Official notice
Authority, file reference, deadline and legal remedy.
Contract
Parties, term, notice period and costs.
Dunning letter
Invoice number, outstanding amount and payment deadline.
Bank statement
IBAN, period, balance and transactions.
Delivery note
Order, items and delivery date.
Up to twelve fields are defined for every invoice, five of them required. If a required field is missing or a value is implausible, the document does not move on.
Invoice number*Invoice date*Supplier*Net amount*Gross amount*VATPayment due dateIBANOrder reference12 fields for an invoice · 5 of them required (marked with *)
112 expense categories in eight main groups, with DATEV base account and filing folder. The assignment comes from weighted rules – keyword, sender, file name, amount – not from a free guess.
8 main groups · 104 subcategories
Two thresholds separate three decisions. They are configurable per client and are technical starting values – not a legal rule.
Apply the type and continue – unless the type requires review or only one feature supports it.
Store the proposal, but only apply it after confirmation.
Leave the type open and send the document to review with a reason.
A close margin of less than 0.08 between two types, or a single matching feature, also stops automation.
Not “the AI decides”, but: critical points become visible. Four triggers always lead to a review.
Uncertain classification
Confidence below 0.60, no match, or two nearly equal types.
Review-required type
Legal and financial types are marked and always go to a person – regardless of confidence.
Critical fields
Missing required fields, implausible amounts or changed bank details stop the run.
No readable text
Without text from the content – just the file name – or in a non-German language, nothing is filed automatically.
Confidence is an assessment by the model, not a calibrated probability. The thresholds are starting values and are adjusted with real documents.
Connection
Five steps from the first test to regular operation. The Firmspace Bridge keeps access to your network as narrow as possible.
The Firmspace Bridge runs on a host in your network. It opens outgoing HTTPS, nothing more. A dedicated service account with the minimum necessary permissions is enough.
You receive a configuration file with endpoints, folders, database views and mappings. No clicking through foreign interfaces, no changes to your software.
The bridge checks reachability, permissions and readability – and writes a test log. The test does not change any data. If it fails, nothing is started.
The first run uses test mode: results are prepared but not written into your systems. You compare them with today’s process and approve.
Every run appears with inputs, result and failure case in the Firmspace console. There you also see the bridge connection and can disconnect it at any time.
Stopping is explicitly part of the plan: if a test does not convince you, the connection does not go live.
Firmspace Bridge
The Firmspace Bridge is a small service that runs in your network and connects the agents with local systems. It is the only component installed on your side – and it can be switched off at any time.
Ready for a real test?
We first review the workflow and the suitable channel. After that, you decide whether the bridge is installed in your network.
Describe a recurring workflow to us. We will check whether an agent can take it over – and which connection is needed for it.
